Rules of mobility (departure abroad within the framework of the academic mobility programmes) for students of Ternopil Ivan Pul’uj National Technical University (TNTU)

1. General Provisions

1.1 These rules set out the order and procedure for students going abroad with the aim of participating in academic mobility programmes. They determine rights and responsibilities for student mobility organizers and students.

1.2 All university students going for part-time studies abroad are divided into two categories: exchange students and free-mover students.

1.3 Exchange students are students sent for part-time studies to a foreign higher education institution in accordance with international, public, inter-institutional agreements or academic mobility programmes.

1.4. Free-mover students are students sent to study or undertake traineeship in a self-chosen foreign institution on their own initiative. They cover the whole period of study and stay abroad by themselves.

1.5. International Relations Office and responsible persons in the departments and faculties are in charge of organizing and coordinating student academic mobility at TNTU.

2. Requirements for academic mobility participants

2.1 Any TNTU student who has successfully finished first year of his/her studies is eligible to participate in academic mobility, providing he/she meets the exchange programme requirements.

2.2. Students cannot participate in the academic mobility programmes abroad during the last semester of their studies before graduation. Students who have not eliminated their academic debts before the start of the exchange period will not be permitted to leave.

2.3 Students planning to study abroad as free-mover students must submit an application for part-time studies abroad, agreed with the responsible persons in the departments /faculties.

3. Academic planning of study period abroad

3.1 With respect to their academic performance at TNTU, all students going for part-time studies abroad must submit a certificate in English or language of receiving country if undertaking studies in the native language of host country is foreseen in the academic mobility programme.

3.2. The next step is signing a trilateral learning agreement between a student and the representatives of TNTU and receiving institution. The learning agreement must contain information on planned study programme at foreign institution, including the ECTS credits which one should get abroad. The planned study programme must correspond to the subject area and study circle of TNTU student.

3.3. During the academic year the outgoing student must obtain 60 ECTS credits.

3.4. All changes and amendments to the study programme initiated by a student should be introduced to the trilateral learning agreement no later than one month after the beginning of the studies abroad and must be agreed on with the academic mobility coordinators from TNTU and receiving institutions. TNTU cannot guarantee recognition of credits and grades in case the changes to the study programme have been made improperly and untimely.

3.5. Successful completion of the trilateral learning agreement guarantees the recognition of the study period abroad and the continuation of the study programme at TNTU.

4. Recognition of study abroad period

4.1 After returning to TNTU, students submit the academic transcript of records issued by the foreign university in their dean office.

4.2. The responsible person in the departments/faculties organizes the recognition of the students’ study period abroad according to the rules of university.

4.3. If a student has fulfilled all formal requirements (concluding the trilateral learning agreement, introducing the amendments to the trilateral learning agreement on time, successfully completing the entire planned study program), all qualitative assessments (grades) and quantitative assessments (credits) are recognized, converted and listed in Diploma Supplement.

4.4. If a student has not passed or retaken examinations according to the agreed study programme, he needs to liquidate his academic debts in accordance with the TNTU provisions after returning to the university.

4.5. Students who disagree with the results of recognition of the study period abroad have the right not later than three working days after the announcement of the results to apply in writing to the TNTU exchange programme coordinator to review the results. The exchange programme coordinator sets up a special commission consisting of department and faculty representatives, and university student service representative. Until the commission has not made its decision, transferring the results of student study period abroad is impossible.

4.6. For consultation on recognition of credits for the study period aboard, please contact the responsible persons in the departments /faculties or International Relations Office.

5. Extension of study period abroad

5.1 Students have the right to extend their study period abroad if it does not exceed 50 percent of the overall period of studies. This provision does not apply to students studying under the double degree programmes.

5.2 To extend the period of study abroad students must sign a new trilateral learning agreement.

5.3 All students extending the study period abroad need to submit a new application for part-time studies abroad, agreed on with the responsible persons in the departments /faculties. Students who undertake their studies under Erasmus+ Programme should agree on their application with the person who is responsible for Erasmus+ Programme at TNTU.

6. Informing and consulting students wishing to participate in the academic mobility programme

6.1. The International Relations Office in cooperation with the departments and faculties is responsible for disseminating mobility-related information to students:

  • advertising international education programmes;
  • posting information on the website www.tntu.edu.ua;
  • organizing study abroad information sessions.

6.2. Before the departure, the International Relations Office in cooperation with the departments and faculties should provide outgoing student with information about the receiving institution and ensure his/her readiness to study abroad according to the requirements of foreign higher education institution.

6.3. The International Relations Office retains the copies of all documents (application forms, learning agreement, etc.) of each applicant and student sent abroad within the mobility programme.

7. Selecting the participants in the academic mobility programmes

7.1 The selection of students for participation in the academic mobility programmes is carried out according to the principles of transparency, equality and universal access to information.

7.2. The selection of students for participation in the academic mobility programmes is administered by the International Relations Office (publicizing a call for applications, developing both information materials on the selection criteria and the selection criteria, consulting students about programme-related questions, sending information on applicants to a partner institution).

7.3. The participants of academic mobility programmes are selected by faculties and departments. They have a right to determine the selection criteria and their ranking, if they are not defined by the mobility programme requirements. The selection criteria should be publicized before the selection process. The protocol/results of the selection process should be published and handed over to the International Relations Office.

7.4. The selection, administration and assistance with getting grants and scholarships within the framework of national, international and university student exchange programmes is the authority of the International Relations Office, the departments and faculties.

8. Responsibilities of students participating in the academic mobility programmes

8.1. Students intending to participate in the academic mobility programmes are obliged to prepare required documents for exchange on time and submit them to the department/dean office of TNTU and a foreign institution. Moreover, outgoing students must respect the rules and the obligations determined in the agreements between TNTU and a foreign institution.

8.2. Students must inform the responsible persons in the departments/faculties about any changes in the study programme in order to amend the Learning Agreement.

8.3. Students must spend the full study period as agreed at the host university, including examinations or other forms of assessment, and respect its rules and regulations.

8.4. Students should endeavour:

  • to find accommodation abroad;
  • to obtain passport, visa, when required, and insurance;
  • to receive other required documents.

8.5. After the completion of academic mobility period, students should write a report on their studies/traineeships abroad and participate in a survey (give feedback) if it is required by the programme rules.

9. Financial rules for students participating in the academic mobility programmes

9.1. If exchange students receive financial support in accordance with the programme provisions, the payment of student stipend is canceled at TNTU during the exchange period.

9.2. Free-mover students cover the cost of their studies and living abroad by themselves.

9.3. Students participating in the academic mobility programmes may apply for loans and other financial assistance to public (state) and private funds for the period of studies abroad.
